Imports and integrations... if those words made you flinch, I can assure you you're not the only one. There is often a certain degree of complexity involved where you need assistance and that just feels costly and not self-reliant.
No more! TOPdesk has introduced a new importing wizard that guides you through all the different steps, from selecting a source to mapping how data should end up in TOPdesk. Read on to see how you're able to easily set up your imports yourself!
Setting up your import
As illustrated below, setting up an import consists of several steps, some of which are optional.
- Start off by selecting your source and target
Initially, you're able to import from Excel and CSV files into the new Asset Management. TOPdesk is working on bringing support for MSSQL. In Q1 2019 we aim to add support for importing persons from Azure AD as well.
- Map your source to TOPdesk
Although terminology might differ across applications, you can easily set up the field mapping. TOPdesk auto-fills everything it can detect and manual adjustments allow you to get it exactly right.
- Schedule your import (Optional)
Automating an import is as simple as periodically uploading your source file to TOPdesk and TOPdesk will directly process it for you.
For other sources, such as Azure AD and MSSQL, TOPdesk will fetch the data for you on a schedule you configure yourself.
- Preview and execution
Accidentally create or update records? You wouldn't be the first, and it is complicated to revert. So use the the preview functionality to see all records (and related cards) affected by the import. If you're happy with your import you can go ahead and execute it.
- Audit log
You can check out which imports are executed, as well as see each individual modification on the asset card.
With these few simple steps, you're able to create or updates assets in batches, or even set up an integration. Most tools can be configured to create periodic exports, which you then directly feed into TOPdesk.
Over time you'll be able to set up integration via tools in the TOPdesk Marketplace, such as Lansweeper. Keep an eye on the Marketplace to ensure you get the most out of your asset imports.
Optimally using resources to import
Executing imports can cost a lot of valuable resources. To optimally benefit from the TOPdesk platform, your imports are done via a service separated from TOPdesk. Importing via a service ensures that you aren't affected by other users running large imports, for example. When more resources are needed, new instances are added. You'll always have great performance when you need to import!
TOPdesk is still in the process of bringing the new technical architecture to On-Premises customers in the form of the virtual appliance. As such, the new asset import is currently SaaS-only. If you use On-Premises, you'll be able to use the new import in 2019.
